Back-office automation for trucking

Hand-written tickets in. Invoices and payroll out.

CFI reads every scale ticket, bill of lading and fuel receipt your drivers turn in, handwriting included. It turns them into customer invoices, driver pay and maintenance records, then sends them to QuickBooks and your payroll provider.

Works with Samsara Motive Vector QuickBooks

What CFI does

Billing, payroll and maintenance from the same tickets.

Every ticket already says who hauled what, for whom, from where, and how much. CFI captures it once and puts it to work across your back office.

Billing & invoicing

Every load billed, on each customer's schedule.

  • Rates each haul by customer, lane and material
  • Adds fuel surcharge, detention and other accessorials
  • Builds invoices on each customer's billing cycle
  • Issues credit memos when something needs correcting
  • Sends ticket backup in the workbook each customer asks for

Payroll & settlements

Drivers paid right, without the Friday scramble.

  • Pays by the ton, mile, hour, load or percentage of the haul
  • Prepares settlements for owner-operators
  • Handles advances, escrow and scheduled deductions
  • Produces weekly wage reports with every ticket and mile behind them
  • Tracks driver performance against your goals

Maintenance & fuel

Every truck tracked from the same paperwork.

  • Keeps maintenance schedules and shop records by truck
  • Matches fuel receipts to the truck and its odometer
  • Reports miles and MPG by truck and driver
  • Logs truck washes and shop time

How it works

From the cab to the books in four stops.

Drivers keep doing what they do today. Your office stops retyping tickets, and still signs off on every one.

  1. Capture

Drivers snap tickets in Samsara, Motive or Vector, or the office scans the paper. Trips, odometer readings and fuel come in with them.

  2. Read

CFI reads each ticket, printed or handwritten: scale tickets, freight tickets, bills of lading, fuel receipts, maintenance forms and contractor sheets. It matches each one to the right driver, truck, customer and lane.

  3. Review

Anything that looks off gets flagged: missing tickets, duplicates, odd dates, weights that don't add up. Your team checks it beside the original image. Nothing is billed or paid until someone approves it.

  4. Rate & export

Approved hauls are priced with your rates and pay rules, then sent to QuickBooks and your payroll provider, along with the spreadsheets your customers expect.

Integrations

Keep what works.

CFI connects to the systems you already run. Nothing gets ripped out, and your drivers don't have to learn a new app.

  • Driver apps & telematics
    • Samsara
    • Motive
    • Vector
  • Paper Office scans, PDFs and phone photos
  • Accounting
    • QuickBooks
  • Payroll Exports for your payroll provider
  • Customer backup Excel and CSV workbooks

What goes away

Fix what doesn't.

The work that keeps your office late every pay week.

  • Retyping tickets into spreadsheets
  • Hunting down missing tickets
  • Catching duplicate tickets by eye
  • Payday arguments over loads and tons
  • Invoices waiting on paperwork
  • Maintenance kept in a notebook

Founders

Owned and run by its four founders.

CFI comes from both sides of the problem. Two of us run a south Louisiana hauling company, and two of us have each spent more than 20 years building software.

Tasha Mears

Co-founder & Owner

Tasha is Chief Administrative Officer at Razorback Rentals, overseeing HR, finance, compliance and IT. She brings more than 30 years of leadership in technology and operations across healthcare, regulation and commercial transportation, and chairs the board of Women in Motion's Louisiana chapter.

Brian Davis

Brian has spent more than 20 years building software and leading technology teams. At LSU Online & Continuing Education he led technology and AI strategy for a division serving over 40,000 learners a year. Karl Mears

Co-founder & Owner

Karl has owned and run Razorback Rentals, a family-owned aggregate hauling company in south Louisiana, since 1988. That's nearly four decades of the hauls, tickets and payrolls CFI is built to handle. He also taught physics and math in Livingston Parish schools.

Steve Schaneville

Co-founder & Owner

Steve has spent 25 years designing and building enterprise software, including leading the architecture of an electronic medical records system built by more than 80 developers at Amedisys. He's a partner at the software consultancy Nubitz and co-founded 3Wrkz with Brian in 2023.
